Moving from Theta 3
How your Theta 3 account, organization and access come over to Theta 4, and what stays behind.
Theta 4 is the new Theta. Your Theta 3 account is not copied across on its own — you claim it once, in a couple of minutes, and from then on you use Theta 4. Theta 3 keeps working for you in the meantime, exactly as before.
Two ways to start
- From Theta 3. Once claims are switched on for your organization, your Theta 3 dashboard shows Claim your Theta 4 account. Click it while signed in to Theta 3. The link it opens lasts 15 minutes, and you then have an hour to finish the form.
- From an emailed link. Theta staff can send you a claim link directly — the way in until the button appears for your organization. It works for seven days and once; if it has expired, ask the person who sent it for a new one.
Either way you land on the same page, already knowing who you are.
The steps
- The claim page greets you by name and says what will carry over — for example "Your access is provided by Hearing Aid Academy" or "Your access carries over until 14 June 2027".
- Check the name and email it has prefilled from Theta 3. You can change either; the confirmation goes to whatever address you choose.
- Choose a password (at least 8 characters) — your Theta 3 password does not come across — and press Create my Theta 4 account.
- Open the confirmation link we email you. That click signs you in and is the moment your organization and access connect; you land on your dashboard with a note saying what carried over.
If the page says You already have a Theta 4 account for that email, sign in to it instead and the Theta 3 access connects to that account. Make sure you sign in as the address shown; if you are signed in as someone else, sign out first.
Confirm your email to finish
Until you open the confirmation link, nothing has moved yet: signing in is refused and a fresh link is sent. The link expires after an hour; check your spam folder or use Resend the email on the confirmation screen.
What carries over
| From Theta 3 | In Theta 4 |
|---|---|
| Your name and email | Prefilled; the email can be changed on the claim page. |
| Your organization (your Theta 3 affiliation) | You join the matching organization as a Learner, with its courses and library. |
| Access provided by a partner organization | Stays provided by that organization — nothing to buy. |
| Access to a date (an access code or a paid period), in an organization | The same end date, with Pro included until then; after it, whatever your organization provides, or a plan of your own. |
| Access to a date, no organization | Pro until that date, then a plan of your own or the free plan. |
| Expired access, in an organization | You join the organization; whatever it provides applies. |
| Expired access, no organization | A free-plan account; pick a plan any time. |
Dates come over as Theta 3 holds them (anything more than three years out is capped and looked at by staff). Theta 4 shows them in your local time, so an expiry can read a few hours earlier or later than Theta 3 showed it.
What does not carry over
- Your password. You choose a new one.
- Submissions, reports and history. Theta 3 keeps them; they are not imported. Download any reports you want to keep from Theta 3.
- Course enrollments and personal settings. Courses come from your organization in Theta 4; your instructor enrolls you, or you join from the organization's course list.
- Instructor role. Everyone arrives as a Learner. Instructors are seated by Theta staff — see below.
Instructors: ask Theta for a link
A claim started from the Theta 3 button never grants an instructor role. If you teach, contact Theta before you claim and we send you a claim link that seats you as an Instructor in your organization — the same page, the same steps, only the role differs. If you have already claimed as a learner, staff change your role in the organization instead. See Roles & access for what each role can do.
If your program hasn't moved yet
Academic programs move one at a time. If yours hasn't, you can still create your account; the page says that your organization, by name, hasn't moved to Theta 4 yet, you keep using Theta 3, and your claim waits. The day your program switches on, it is applied — with the rest of your access-code time — and the organization appears on your dashboard.
Common questions
- "Change your Theta 3 password first." Your Theta 3 account still uses a default password handed out in bulk, so it can't vouch for you yet. Change it in Theta 3, then click Claim your Theta 4 account again.
- The link has expired. A link from the Theta 3 button lasts 15 minutes, and the form an hour after that — go back and click again. A link sent by staff lasts seven days — ask for a new one.
- "This link has already been used." Your account exists; sign in. If your email was never confirmed, we send the confirmation link again.
- Wrong address prefilled. Edit it on the claim page before creating the account; the confirmation goes to the address you enter.
- Does anything change on Theta 3? No. Claiming changes nothing there; Theta 3 works as before.
Where to go next
Once you're in, the dashboard is home: your organizations on the left, your work in the middle. If you've never used Theta 4, start with Core concepts.
