Progress & certificates

The Progress tab that shows where every enrolled learner stands in a course, and the certificate of completion learners can print once they finish.

Every course in your organization keeps two things for you once learners are working in it: a progress roster — who has finished, who is part-way, who hasn't started — and a certificate of completion each learner can print when they're done.

The Progress tab

Open a course from your Courses tab and choose Progress. You'll see every learner enrolled in the course, with:

  • Progress — how many of the course's lessons and quizzes they have a finished attempt on, as a bar (full once they've completed it) and a count. Readings, videos and other passive content don't count, and an attempt you've voided doesn't count either.
  • Status — Completed (with the date), In progress, or Not started.
  • Last activity — when they last finished anything in the course.
  • Certificate — an Open link for each learner who has completed the course, so you can print their certificate yourself.

Search by name or email, narrow the list to one status with the buttons above the table, and use Download CSV to take the whole roster (all statuses, whatever the filter) into a spreadsheet.

Completed is a record, not a recount

A learner is Completed the day they finish the last lesson or quiz in the course. That moment is recorded on their enrollment and kept, so it never changes afterwards — even if you add a lesson later or void one of their attempts. The count beside their progress bar, by contrast, always counts against the course as it stands today, which is why a completed learner can show fewer items than the course now has (their bar stays full).

A learner who has finished everything but shows as In progress simply has no record yet. That happens for completions from before Theta kept the record, and when you remove the last item they hadn't finished. Finishing any attempt in the course records it — and if you removed the learner from the course and added them back, re-adding them restores the record on the spot, dated that day, as long as their kept attempts still cover every lesson and quiz the course holds now.

A learner you have deactivated in the course is still listed, marked as such, so their history stays readable. Someone you removed from the course is not: removing a learner deletes their enrollment, and the completion record with it (their attempts are kept, and adding them back restores the record if those attempts still cover the course).

Certificates of completion

When a learner finishes every lesson and quiz in a course, Theta issues them a certificate of completion: a one-page, landscape certificate in Theta's colours carrying their name and email, the course title, your organization's name, the completion date, and up to two signature lines. Learners find it as Certificate on the course in their course list, on the dashboard card, on their Progress page, and in the course's left rail under My submissions (greyed with a lock until the course is finished; absent when certificates are turned off), and it is offered in the message that appears right after the lesson submission that finishes the course (a course whose last finished item is a quiz shows no such message — the other three links still appear). It opens as a page they can print, or save as a PDF from the print dialog; it fits one landscape page, and Safari asks you to choose Landscape yourself.

Choosing what your certificates carry

Open the course's Settings and find Certificate of completion:

SettingWhat it does
Offer a certificateOff for a new course (and for one copied from Theta) until you turn it on. Courses created before this was the default keep whatever they had. Turn it off again and the Certificate links disappear for this course; completions are still recorded.
Include Theta's signatureAdds a line pre-signed by Theta's owner, so a learner can print a signed certificate without waiting on anyone. On by default.
Instructor signatureNo instructor line; Typed signature — the instructor's name set in a script face, as a signature; or Blank line — an empty line under the name, for a pen after printing. An organization's course starts with a blank line.
Instructor name and TitlePrinted under the instructor's line (and, for a typed signature, used as the signature). Leave the name empty and the line is simply captioned "Instructor".

A typed signature with no name behaves as a blank line — a certificate is never signed as nobody.

Who can open a certificate

  • A learner can open their own, for any course they have completed and are enrolled in — the recorded completion is what the certificate is issued against, and it prints off the enrollment. Until then the link isn't shown, and the page says the certificate isn't ready yet. Staff who work through a course without enrolling get no certificate; enrolling afterwards brings it up, dated when they finished.
  • Instructors and admins of the organization can open any enrolled learner's certificate from the Progress tab, to print it for them.
  • Theta's own Library topics also issue certificates; those carry Theta's signature and no instructor line. Intro to Theta, the getting-started course, does not.

Each certificate prints a certificate number — the learner's enrollment record — so a printed copy can be matched back to the record it came from.

Theta's assessment certificate is a different thing

The Skill Assessment issues no certificate of completion. Instead, passing its Certified Exam earns a Theta certificate that is valid for one year and renewed by a later pass, with its own certificate number and a public page anyone can use to check it. Nothing on this page — the Progress tab, the course's certificate settings — applies to it.

At a glance

  • Progress lists every enrolled learner with a status, a count, their last activity, and a certificate link once they've finished; Download CSV exports it.
  • Completed is recorded on the day it happens and kept; progress counts against the course as it stands today.
  • Certificates are on by default, carry Theta's pre-signed line, and let you choose a typed or hand-signed instructor line — or none.
  • Learners print their own; staff can print any learner's from the Progress tab.
