Privacy Policy

What information Theta collects, how it is used and shared, the service providers that handle it, cookies, security, and your right to deletion.

Last updated: October 6, 2026

Beta version

Theta is in beta. This policy carries forward the Privacy Policy in effect since October 28, 2022, updated for the current platform, and will be reviewed again before Theta's full launch.

Protecting your private information is our priority. This Privacy Policy applies to Theta at audiologysimulator.com, its subdomains, and affiliated sites operated by Audiology Technology Solutions, LLC ("ATS", "we", "us"), and governs data collection and usage. Theta is a Software as a Service (SaaS) platform. By using Theta, you consent to the data practices described in this statement.

Collection of your personal and other information

To provide the products and services offered on Theta, ATS may collect personally identifiable information ("PII") that identifies you or could be used to contact you, such as your:

  • First and last name
  • Email address
  • Profile picture, if you sign in with Google
  • Educational institution, program, or other organization you belong to, and your role in it (for example, learner or instructor)

In addition, ATS collects and stores the data and files you create using Theta: the lessons and cases you design, your submissions and their scores, and a record of the actions you take while completing a simulation (for example, the tones you present and the thresholds you save), which lets an attempt be scored, reported, and replayed. Some of this data is made available to other users, as described under Sharing information below. How content you create may be used is set out in our Terms and Conditions.

If you purchase ATS's products and services, your billing and card information is collected by Stripe, a third-party payment service, and used to complete the purchase. ATS does not receive or store your full card number.

Use of your personal information

ATS uses your PII to create and secure your account, to deliver the services you have requested, to communicate with you about the products and services you use or have purchased, to offer you additional products and services, and to bill you. We also use it to the extent necessary to enforce our Terms and Conditions and to prevent imminent harm to persons or property.

Sharing information

ATS does not sell, rent, or lease its customer lists to third parties.

Within Theta. Instructors and administrators of an organization you belong to can see the lessons you complete in that organization, your submissions, scores, and activity (including when you sign in to and out of Theta), and how your access to that organization is provided — for example, whether you hold a seat in it, and any seat or course of theirs you have bought and what you paid for it. They do not see your IP address, your payment card, or what you do or buy in other organizations. If you take part in a ranked activity such as the Audiogram of the Day, other users can see your name, profile picture, and scores on its leaderboard.

Service providers. ATS shares data with trusted service providers that host Theta and help us run it. They may use your information only to provide these services to ATS and are required to keep it confidential:

Legal requirements. ATS may disclose your personal information, without notice, if required to do so by law or in the good-faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on ATS or the site; (b) protect and defend the rights or property of ATS; and/or (c) act under exigent circumstances to protect the personal safety of users of ATS or the public.

Automatically collected information

Information about your device and browser may be collected automatically when you use Theta, such as your IP address, browser type, and access times. It is used to operate and secure the service (for example, to keep you signed in and to protect your account), to maintain its quality, and to provide general statistics about how Theta is used. Theta does not use advertising or third-party analytics trackers of its own; embedded video players are covered under cookies, below.

Use of cookies

Theta uses cookies — small text files your browser stores for a website — to make the service work:

  • a sign-in cookie, which keeps you signed in;
  • a language cookie, which remembers the language you chose;
  • a few small Theta preference cookies — for example, the guest name used when you play the Audiogram of the Day without an account, and the view an instructor has chosen when previewing Theta as a learner.

Pages with an embedded video — the Theta home page, and course content where an instructor has added one — load that video provider's player (YouTube, Vimeo, or Loom). The provider may set its own cookies, under its own privacy policy.

Theta also stores some display preferences (such as how an audiogram is shown) in your browser's local storage. You can set your browser to decline cookies, but if you do, you will not be able to sign in or use the interactive features of Theta.

Security of your personal information

ATS secures your PII from unauthorized access, use, or disclosure. ATS uses the following methods for this purpose:

  • Encrypted connections (HTTPS/TLS) for all traffic
  • Passwords stored only as salted, one-way hashes — never in readable form
  • Email verification of new accounts
  • Stripe for payment information collection

We strive to take appropriate security measures to protect against unauthorized access to or alteration of your personal information. Unfortunately, even with these measures, we cannot guarantee the security of PII. By using Theta, you acknowledge and agree that we make no such guarantee and that you use Theta at your own risk.

Right to deletion

Subject to certain exceptions set out below, on receipt of a verifiable request from you, we will:

  • delete your personal information from our records; and
  • direct any service providers to delete your personal information from their records.

To make a request, email audiologysimulator@gmail.com from the address on your account.

Please note that we may not be able to comply with a request to delete your personal information if it is necessary to:

  • complete the transaction for which the personal information was collected, provide a good or service requested by you or reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform a contract between you and us (including an agreement with an organization that provides your access);
  • detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, or prosecute those responsible for that activity;
  • debug to identify and repair errors that impair existing intended functionality;
  • exercise free speech, ensure the right of another consumer to exercise their right of free speech, or exercise another right provided for by law;
  • comply with the California Electronic Communications Privacy Act;
  • engage in public or peer-reviewed scientific, historical, or statistical research in the public interest that adheres to all other applicable ethics and privacy laws, when deleting the information is likely to render impossible or seriously impair the achievement of such research, provided we have obtained your informed consent;
  • enable solely internal uses that are reasonably aligned with your expectations based on your relationship with us;
  • comply with an existing legal obligation; or
  • otherwise use your personal information, internally, in a lawful manner that is compatible with the context in which you provided it.

California privacy rights

In addition to the rights explained in this Privacy Policy, under California's "Shine the Light" law, California residents who provide personal information (as defined by the statute) to obtain products or services for personal, family, or household use are entitled to request and obtain from us, once a calendar year, information about the personal information we shared, if any, with other businesses for marketing uses. If applicable, this information would include the categories of personal information and the names and addresses of those businesses with which we shared such personal information for the immediately prior calendar year. To obtain this information, contact us at the address below with your message labeled "California Privacy Law".

Children under thirteen

ATS does not knowingly collect personally identifiable information from children under the age of thirteen. If you are under the age of thirteen, you must ask your parent or guardian for permission to use Theta.

Email communications

From time to time, ATS may contact you by email to provide announcements, promotional offers, alerts, confirmations, surveys, and/or other general communication.

External data storage

Your data is stored on servers operated by the third-party hosting providers listed above, with whom we have contracted. Those servers may be located outside the country where you live.

Changes to this statement

ATS reserves the right to change this Privacy Policy from time to time. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address on your account, by placing a prominent notice on Theta, and/or by updating the privacy information on this page. Your continued use of Theta after such changes constitutes your: (a) acknowledgment of the modified Privacy Policy; and (b) agreement to abide and be bound by that policy.
